As an agent representing Carlyle Van Lines, it is vital to ensure that proper packing procedures are followed on all shipments handled on behalf of the carrier.  We all have the responsibility of enforcing that proper packing procedures are followed on all shipments handled. While our office personnel is absent, details such as packing material, proper attire, personnel issues or parking the truck, reflects on all people involved in the moving process. It is always better when the shipper is kept informed and updated at all times.  This eliminates confusion and they know the process of what is happening and why. Communication is imperative.

As stated in the tariff regulations, all items of fragile nature are to be packed in the original manufacturer’s carton or in a dish pack. Below, a clip is included directly from the tariff for your review:

Barrels, Fiber Drums, and Cartons:  Wood barrels, fiber drums, or cartons with a capacity of not less than five cubic feet (not applicable under all inclusive rates) are to be used for packing glassware, chinaware, bric-a-brac, table lamp bases, and other fragile articles.  When the packing of fragile items has been completed and space is left in a dish pack, such space may be used for packing other light items.

These fragile items must be wrapped individually, carefully and tightly within the carton. As the agent, it is your responsibility to take proper exceptions for cracks, previous breakage, repairs, etc. to the items you pack. Please be attentive and make certain that your packing personnel understand the proper packing procedures for crystal, porcelain, glassware, glass vases, china and other breakables. This will eliminate many damages while in transit to their destination.  Keep in mind that if breakage occurs, the improper packing of such items will result in claims for negligent packing resulting in charges of 100% to the agent.

Mattresses are also very important items, and need to be cared for in a suitable manner.   All mattresses are to be placed in clean cartons of accurate size after documenting any exceptions on the inventory sheet. Again, it is an important responsibility of the agent’s pack crew to make all efforts for a claim free delivery. Mattresses not packed per tariff instructions may result in a claim that will be charged to the agent.

As we move closer to Families First and the impending Full Replacement Value protection policy, the pack crew’s proper handling of these issues will become paramount in minimizing costly claims.

As a precautionary measure, it is advisable to have monthly training meetings to address these issues with your pack crews.

We look forward to continuing a strong professional presence within the industry and maintaining a positive team approach.  By doing so, we can be a leader in the new Families First program.
